The Senior Administrator will ensure consistency, accuracy, growth, and skill development within the Project Administration team. This position provides key support and development role for Project Administrators.

Responsibilities include but are not limited to:

  • Manage a group of Project Administrators and ensure the accurate entry of daily Time and Material information
  • Apply client specific contract protocols and project settings
  • Identify issues, missing data and supporting documents
  • Audit Billing Reports for internal mistakes
  • Work with complex and large projects
  • Assign jobs within the appropriate region
  • Maintain job files (both hard files and electronic) and update company based program
  • Communicate with Project Managers and Project Directors regarding invoicing questions
  • Validate daily paperwork and reconcile cost with vendor invoices
  • Prepare invoice billing packages for clients, including support documents
  • Update invoices daily and communicate current value
  • Audit invoices prior to distribution against customer contracts
  • Print and reconcile job costs
  • Other administrative duties as needed

Technical Qualifications:

  • Strong skillset with Excel, Word, and other Microsoft Office tools
  • Working knowledge of Microsoft Teams
  • Comprehend Client specific billing information and adhere to their contractual agreements

Experience:

  • High school diploma or equivalent
  • Completed 20+ complex or high value jobs
  • Proven ability to train others
